Setting the Scene

When a client approached us about a milestone 60th birthday celebration at the Hilton Baltimore BWI Airport, the vision was clear: a glamorous evening that felt personal, polished, and celebratory. The guest list called for 120 attendees in a hotel ballroom that needed to be transformed from a standard conference space into an elegant birthday venue.

The color palette centered on gold, black, and ivory — a classic combination that communicates sophistication without trying too hard. Every rental selection was made to reinforce that palette and create a cohesive visual experience from the entrance to the dance floor.

Behind the Scenes

Our team delivered and set up the full rental package the morning of the event. The Hilton provided the venue and catering; we provided everything else. The setup included 15 round dining tables with floor-length ivory linens, 120 gold Chiavari chairs, a head table with a gold sequin runner, and a sweetheart table for the guest of honor.

Centerpieces featured tall crystal candelabras with LED flameless candles — a practical choice for a hotel ballroom where open flames are typically restricted. Each table also received a set of gold charger plates and ivory napkins folded into a fan pattern.

Statement Decor Pieces

The focal point of the room was a 8-foot gold shimmer wall positioned behind the head table. This served double duty: as a photo backdrop for the guest of honor and as a visual anchor that drew attention to the front of the room during toasts and speeches.

Flanking the entrance, we placed two gold marquee numbers — “6” and “0” — each standing four feet tall with warm LED bulbs. These became the most photographed element of the evening, with guests lining up to take photos between the numbers before finding their seats.

A dedicated dessert station featured a 4-foot round gold cake stand elevated on a pedestal, surrounded by smaller dessert displays. The arrangement created a visual moment without competing with the main dining area.

The Guest Experience

Guest flow was planned to move naturally from the entrance (marquee photo moment) through a cocktail area (with two cocktail tables and a portable bar) into the main dining space. After dinner, the dance floor — a 15×15 section of our maple dance floor — occupied the center of the room with the DJ set up on a low 8-inch riser stage.

The evening ran from 6 PM to midnight. Our crew returned at 12:30 AM for breakdown, with the ballroom cleared and restored by 2 AM — well within the hotel’s overnight turnaround window.
